Converting Spreadsheets to HubSpot Reports

Green Couch is a luxury home staging, improvement, and leasing firm in California. The company used HubSpot to track sales information, but still did a lot of manual reporting. Forge Apollo set up custom reporting in HubSpot to eliminate the need for manual reporting.

The Challenge

Despite the Green Couch team logging sales information in HubSpot, the brand’s Managing Director primarily used spreadsheets for vital reporting. She did so because some key information was missing from HubSpot and because setting up custom reporting within HubSpot is difficult.

Green Couch’s spreadsheet reporting technique consumed a lot of manual reporting time from the Managing Director and delayed the team’s ability to get real-time insights from key reports.

The Solution

Green Couch turned to Forge Apollo for HubSpot consulting about this issue, which resulted in our team building out custom versions of their spreadsheet reports within HubSpot.

Capturing Missing Information

We identified information on the original reports that was missing in HubSpot and created new properties for them within the software. We communicated this list to Green Couch so they could adjust their sales team’s training to start capturing this information.

Custom Reports and Dashboards

We created a series of custom HubSpot reports reflecting Green Couch’s desired insights and grouped them into relevant dashboards for easy review.

Limited Manual Entry

There was some information that HubSpot didn’t have reporting capabilities for in Green Couch’s desired format. In those limited cases, we created editable text fields that the Managing Director can update once per year.

Automated Emails

Green Couch reviews these reports in specific weekly meetings, so we configured automated emails that would send the reports to the Managing Director shortly before the meetings to allow her to easily prepare.
